Position Description

ZemiTek has been contracted by the USAID Bureau for Conflict Prevention and Stabilization (CPS) to provide institutional staffing support. As part of this contract, the CPS/ Office of Administrative and Management Services requires a mid-level Administrative and Program Assistant. The Program Assistant will address the administrative and support needs of the front office of the Bureau for Conflict Prevention and Stabilization.

 

This position will be required to be in office five days a week with situational telework.

 

Location: Washington, DC 
Position Type: Full-Time (5 days/week onsite)
Salary Range: Starting at $68,000

Clearance: Able to obtain a secret level clearance

Responsibilities

•  Provide administrative support to the Assistant to the Administrator (AtA) and Deputy AA’s Director with office management responsibilities and provide general administrative support to staff members as needed
• Provide telephone and receptionist services to the AA other staff and maintain the Assistant to the Administrator’s requests for meetings and manage office routine functions
• Serve as a Unit Security Officer and keep abreast of any policy or procedure changes regarding USAID physical and informational security
• Stay up to date on any changes to CPS procedures, such as procedures required to process travel vouchers and staff correspondence through the Front Office.
• Manage Conference Room and Audio Conference Line. Schedule video teleconferences (VTC) for external and internal meetings
• Track and review all correspondence for grammatical and punctuation errors

• Record and track activity approvals in relevant information systems and monitor their related budgetary impacts
• Provide reports and analyses to the office on changes in statutory requirements and mandates
• Maintain office supplies and inventory
• Other duties assigned by the Office Director and Deputy Director or their designee(s)

 

Travel for Front Office:


• Arrange travel for AA and DAAs as needed to include working with Travel Management Center (TMC) on developing itinerary, submitting, and tracking routed travel authorizations

• Completing vouchers and working with Travel and Transportation Division (M/OMS/TTD) for any questions and concerns
• Working with TMC to handle visa and other travel requirements as needed

Qualifications

Bachelor’s degree from an accredited college or university.
Three years’ experience working in fast-paced office setting handling multiple requests.
• Demonstrated administrative leadership and problem solving abilities in a high-profile or fast paced setting.
• Exceptional written and verbal communications and presentation skills.
• Knowledge of MS Office Suite programs (including Excel, Word, and Power Point)

• Must be eligible to receive a SECRET clearance.

 

Preferred Qualifications:
• Active Secret Clearance preferred
• Demonstrated experience working with a variety of different customers and clients often on time sensitive issues
• Demonstrated ability to work independently on projects requiring research and preparation as well as ability to work independently to solve problems
• Ability to develop effective working relationships in a variety of different ways
• Previous work organizing travel, managing conferences and other large-scale logistics
